HR & Payroll System
Payroll takes 3 days every month because the HR team manually calculates each employee's salary in Excel, checks attendance sheets, and types out payslips in Word.

FIT // WHO THIS IS FOR
Who this system is for
HR Manager / Payroll Executive / CFO
Organisation with 50 to 1,000 employees running payroll in Excel or a legacy HRMS that does not handle PF/ESI/PT compliance correctly, or one that is growing quickly and has outgrown its current spreadsheet-based payroll process
Payroll takes 3 to 4 working days every month because the HR team manually inputs attendance data, adjusts for leaves, and calculates deductions separately for each employee category
- —Payroll takes 3 to 4 working days every month because the HR team manually inputs attendance data, adjusts for leaves, and calculates deductions separately for each employee category
- —PF and ESI compliance is managed in a separate Excel file maintained by the accounts team — discrepancies between payroll and PF filings are discovered only during the annual audit
- —Employees call HR on the 1st of every month asking for their payslip which is still being prepared — the company has no self-service portal for employees to download payslips or view leave balances
BEFORE
HR downloads the attendance report from the biometric system, pastes it into a salary Excel, adjusts for leaves manually, calculates PF/ESI in another sheet, types payslips in a Word template, and sends them by email one by one. The process takes 3 days. Errors are found after salaries are paid. Compliance filings are prepared separately from payroll.
WITH THIS SYSTEM
Attendance data flows from the attendance system into payroll automatically. The HR manager clicks "Run Payroll" on the 26th, reviews the salary register, approves, and the system generates all payslips and a bank transfer file simultaneously. Employees log in to download their payslip and view leave balance. PF/ESI challans and ECR files are generated automatically. Payroll is done in 4 hours instead of 3 days.
KEY OUTCOME
Monthly payroll processing time: 3–4 days → under 4 hours. Payroll errors requiring manual correction: reduced by 90% with automated calculations.
